Everyday work
Todos and AI suggestions
Track what needs doing on a workflow, and review the todos AI suggests from your client emails.
Every workflow has a list of todos - the steps to get the work done, such as Chase P60 or Reconcile bank statements. You can add them yourself, start with a set from a template, or let Mighty's AI suggest them as emails come and go. A suggestion never becomes a todo until someone on your team accepts it.
Todos belong to the whole workflow, not to a single thread, and everyone in the workspace can add, edit and complete them.
Where todos live
- On a computer - the Todos tab on the right of the workflow. Its number counts open todos plus any suggestions waiting for review.
- On a tablet - click Details at the top of the workflow.
- On a phone - the Todos section of the workflow's overview, with See all for the full list. Inside a conversation, the list icon at the top opens them too.
The list has three groups: Suggestions (waiting for review), Open and Done. Todos are listed in the order they were added.
Add a todo
- Click Add next to Open (or Add todo if the list is empty).
- Enter a Title, such as Collect signed engagement letter.
- Optionally add a Description, a Due date and an Assignee:
- On this workflow lists the people taking part, including client contacts - useful for tracking what you're waiting on a client for.
- Team lists everyone else in your workspace.
- Click Add todo.
When you assign a todo to a teammate, they get an email about it (unless they've turned that off under Account → Notifications). Client contacts are never emailed about todos.
Work through your todos
- Complete a todo by clicking the round check beside it. It moves to Done. Click the check again to reopen it.
- Edit a todo from its ⋯ menu. To edit a completed todo, reopen it first.
- Delete a todo from its ⋯ menu. It's removed permanently, along with any evidence attached to it.
The due date shows as Due Oct 12, 2026, turning amber when it's within three days and red once it's overdue.
The ⋯ menu also has Dismiss, which hides a todo from the workflow for good - there's no way to see or restore it in the app afterwards. To mark something as finished, complete it instead.
Clicking a thread chip on a todo opens the thread it relates to.
AI suggestions
Mighty's AI reads each email on an open workflow - your clients' replies and the emails your team sends - and suggests todos when there's something to act on. For example, if a client writes "I'll send the P60 next week, but I can't find my pension statement", it might suggest adding Chase pension statement.
Suggestions appear at the top of the Todos list under Suggestions, usually within a minute or two of the email. On a phone, the workflow overview shows 2 suggestions from replies with a Review link.
There are three kinds:
| Suggestion | What accepting it does |
|---|---|
| Add · title | Creates a new todo |
| Complete · todo | Marks an existing todo as done - for example, when the client confirms they've sent something |
| Update · todo | Changes an existing todo's title, description, assignee or due date |
Each suggestion shows the passage from the email it's based on, the suggested assignee, and a confidence meter - hover over it to see High, Medium or Low.
Review a suggestion
- Accept (✓) applies it as it is.
- Edit (pencil) opens the full suggestion - including the proposed due date and description, which the card doesn't show - so you can change it, then Accept with changes.
- Reject (×) removes the suggestion.
For Update suggestions, the card shows the todo's current title; click Edit to see exactly what would change before you accept. Complete suggestions can only be accepted or rejected.
When you accept a suggestion, the email passage is kept on the todo as Evidence, so anyone can see why it exists.
AI suggestions can be wrong or incomplete. Nothing changes until a person accepts a suggestion, and you can edit or reject any of them. The AI reads the text of emails and the names of attachments, not what's inside the attachments.
Good to know about suggestions
- Suggestions are only made while a workflow is open.
- Mighty tries not to suggest anything already covered by an open todo or a pending suggestion. Something you rejected may be suggested again if a later email raises it.
- If several emails mention the same thing, an existing suggestion may be updated or withdrawn rather than duplicated.
- If a conversation filed from Triage is sent back, the suggestions it produced go with it. Todos you've already accepted stay.
- Your data isn't used to train AI models. See our Terms of Service for details.
Todos in My work
Your My work page brings together the todos that need your attention:
- open todos on open workflows you own, whoever they're assigned to, and
- open todos assigned to you on anyone's workflow.
Group them by due date or by workflow, and tick them off straight from the list. Dated todos also appear on the My work calendar, where you can drag one to a new day to change its due date. See Your day in My work.
The daily digest email summarises your overdue and upcoming todos each morning. There's no separate reminder email when a single todo falls due.
Todos from templates
A workflow template can include a standard set of todos, each with a due date counted from the workflow's date and a default assignee. They're added when a workflow is created from the template, ready to work through.
